FORMATION OF CONTRACT

Any contract shall arise between you and us once we receive the deposit payable and we send a written confirmation to you of our acceptance of your booking. We send our written confirmation in the form of an email. This user contract is between you and us and is abide by the laws of the UK.

LEAD NAME

While booking, the lead name accepts the full responsibility of collecting the payable balance for the booking. Also, it indemnifies “Ace Flights Ltd” against the loss if the individual fails to pay within your group.

The lead name also ensures that every group member is aware of our terms and conditions and is abide by the same. The lead name is responsible for completing the online guest list on behalf of all persons on the booking. The lead name and all persons on the booking via email or telephone agree to and accept our terms and conditions.

WEBSITE ACCURACY

Ace flights always try to provide correct and timely information; however, this Website may contain unintended factual or technical errors, and typographical errors or inaccuracies. We do not assure or warrant that information available on this Website or accessible via this Website is up-to-date, accurate, or complete.

PAYMENT AND DEPOSITS

Ace flights offer flexible payment options. The amount payable at the time of booking is split into the here-mentioned phases: Minimum 20% amount should be deposited upon booking, balance to be paid 60 days in advance of travel.

You are agreed that the deposit payable at the time of booking is non-refundable and non-transferable. The balance amount is to be paid before 60 Days from the start date of the event. Failure to pay the full and final balance amount before this date will lead to a late payment charge which will be more than or equal to £10.00 per person.

Failure to pay the full and final balance amount before the given due dates will also lead to the cancellation of the event.

You can make your payments using a valid Debit Card or Credit Card, internet banking & online bank transfers.

SERVICE CHARGES

Ace flights can apply a service charge in addition to any fees charged by the supplier for providing some certain services. You are agreed that these charges paid are non-refundable.

FINANCIAL PROTECTION

Ace Flights Ltd is a reputed company and we are committed to customer satisfaction. All passengers booking with Ace Flights Ltd are fully insured for the initial deposit, and subsequently, the balance amount is paid in accordance with “The Package Travel, Package Tours Regulations.” We apply no extra cost to you for the financial protection offered to you. Also, you will be getting ATOL protection through our suppliers.

Your money is safe and fully protected, and is held within an independent Trust Account, managed by Protected Trust Services Ltd of 307-315 Holdenhurst Rd, Boscombe, Bournemouth BH8 8BX and its Trustees, chartered accountants - Elman Wall Ltd of 8th Floor, Becket House, 36 Old Jewry, London EC2R 8DD. You can read the detail in your booking confirmation form.

You can make your bookings online by visiting our website www.aceflights.co.uk or call us on +44 203 997 9399 to our travel experts. All bookings are subject to availability at the time of booking.

Ace flight does not guarantee the availability of any travel services that we advertise, including on our website. Once you make a booking request, we will confirm the availability of your chosen travel services to you.

Where you book online, we send the order summary via email. This is NOT a contractual acceptance of the supplier’s ability to provide these travel services. The order summary is only an acknowledgement that we have received your request. Once we share the booking confirmation with you which is when your contract with us comes into existence and you have entered into a legally binding agreement to purchase those travel arrangements subject to the supplier’s terms and conditions and these Booking Conditions.

You as a buyer are responsible to ensure that all names listed in the booking confirmation are accurate as per the passports of the travellers and that the travel itinerary accords with your requirements.

Once flight tickets and other travel documents are issued, it is rarely possible to make changes in the here-mentioned details. Any alterations may incur additional charges. For details, see the Clause regarding amendment fees and cancellation charges. Unless otherwise stated earlier, all flight tickets supplied are non-refundable, non-changeable and non-transferable.

FLIGHTS BOOKINGS

Flight seat availability and pricing are at the discretion of the airlines. As per the airline’s booking conditions, flight times displayed are provisional and may be subject to change. Bookings at most airlines are non-refundable. Airfares are mostly dynamic and can increase quickly after the initial quotation. You are advised to make payment within 1 hour of your booking to obtain the airfare offered.

Please note that some flights may fly via other airports. If you are offered an indirect flight, you will be receiving full details of any flight stopovers at the time of booking. For more details on other flight-related terms and conditions, like baggage allowance, check-in guidelines and other information, you are advised to visit the airline's terms and conditions carefully. You should ensure that you are not carrying any restricted items as per the terms and conditions of the airlines.

PACKAGE BOOKINGS

Package bookings can be a booking of other transport arrangements along with flights, like car hire, accommodation, or other tourist services for the purpose of the same holiday or trip. Once you book the package, you enter into a contract with the principal(s) or other supplier(s) (e.g. tour operator/airline/cruise company/accommodation Company) named on your receipt(s), or booking confirmations.

The third-party supplier’s booking conditions will apply to your booking. You are advised to read their terms and conditions carefully as they do contain important information about your booking.

OFFLINE BOOKING OR BOOKING BY PHONE

Ace flights accept offline booking or booking by phone. You can make a booking by phone. In order to do so, you should furnish us with all the information which we require. You are solely responsible for all information which you give is accurate as per your passport. It is your responsibility to ensure that the credit or debit card you are using is your own and have adequate funds available to take care of the expense of the courses of action which you book with us.

Also, our phone booking confirmation is as inflexibly confirmed as though it were made confirmed in writing in real-time. We don't make any representation or guarantee with regards to the availability of any holiday package, flight or Individual Components until you make the complete payment and the same is confirmed by us.

Once we acknowledge your booking and share the booking confirmation with you. Thereafter, the fare condition or changes/cancellation charges will apply, or come into effect. We will send you the booking confirmation email consisting of the e-ticket and the receipt. Once you receive the booking confirmation along with the e-ticket and receipt, you are advised to check all the details carefully and educate us quickly on the off chance that anything gives off an impression of being wrong as it may not be possible to make changes later. Any changes at a later point will pull in extra costs payable by you including charges for the supplier and administration fee as relevant.

ONLINE BOOKING

Ace flights accept online booking. You can make a booking by visiting our website www.aceflights.co.uk. The online booking process goes through automation; therefore, you are solely responsible for all information which you enter on our website is accurate as per your passport. It is your responsibility to ensure that the credit or debit card you are using is your own and have adequate funds available to take care of the expense of the courses of action which you book with us.

We accept no obligation regarding any error at all in the information that you enter on the website. You are responsible to make the correct determination of flights, hotels, or some other course of action you book with us. You agree that any such mistakes/ discrepancies while booking the travel arrangements, or entering the details, may incur extra costs which will be paid by you.

You should likewise guarantee that the credit or debit card you are using is your own (or, subject to our acknowledgement, on the off chance that it is a third party you have their express authorization, to utilize their credit or debit card) and that adequate funds are available to take care of the expense of the arrangements which you book with us.

Once we receive all inputs from you and acknowledge your booking. We will share the booking confirmation with you. Thereafter, the fare condition or changes/cancellation charges will apply, or come into effect. We will send you the booking confirmation email consisting of the e-ticket and the receipt. We understand that our booking services are not free from infections or whatever else has a debasing or ruinous impact on your property. We are not liable or do not guarantee, or make any representation with regard to the availability of any flights, packages, or other components after you have presented your booking request.

AMENDMENT

We shall try to accommodate any reasonable changes you wish to make to the event. Alterations and amendment requests should be made with us and not end suppliers and should be made in writing to us by the lead name. These changes shall not be deemed accepted until we have confirmed in writing to you.

Any amendment you want to make to your booking will be subject to the discretion of the related supplier and their terms and conditions. Please note that the majority of airline tickets are non-refundable and non-transferable and even name changes are not permitted.

If you wish to increase or decrease the number of persons participating in the event you may do this up to six weeks prior to the date upon which your event is due to start. Amendments after that date will incur our administration charge of £10.00 per person. Changes such as arrival/departure dates and destination changes will also be subject to our administration charges.

You are advised to read the terms and conditions related to cancellations and amendments of online scheduled flight bookings during the booking process carefully. We abide by the terms and conditions of the airlines/consolidators and cannot migrate from the fare rules.

We cannot guarantee that the change to the price will be pro-rata, but will depend upon the arrangements we can make with our suppliers. Subject to our written agreement you may transfer your booking to a person who satisfies all the conditions applicable to the event. Once flight tickets and other travel documents are issued, it is rarely possible to make changes in the here-mentioned details.

Any alterations may incur additional charges. Unless otherwise stated earlier in writing, all flight tickets issued are non-refundable, non-changeable and non-transferable. Where refunds or changes are permitted, we charge administration fees in addition to the fees charged by the supplier, once you ask us to cancel or amend your bookings. Any such request must be notified to us in writing within our opening hours, and cannot be processed until received by us.

CANCELLATION BY US

We may cancel the event or any part of it for safety reasons.

  • If we or our supplier(s) regard adverse weather conditions or other safety concerns as unacceptable and that cannot reasonably be overcome.
  • If we reasonably believe that you may cause harm or damage to our reputation or, to the reputation of our suppliers or, to property belonging to our suppliers.
  • If a supplier or suppliers are unable to host the event for any reason.
  • If changes you wish to make to the booking mean it is uneconomical or impractical to hold the event.

If we cancel the whole of the event we shall use our best endeavours to rearrange the event on a mutually convenient date or provide a refund to you of the cost to us of the event. Save as above we shall be under no further liability to you for cancellation of the event or any part of it.

CANCELLATION BY YOU

You may cancel your booking within a period of 14 Days after the initial deposit; however, this initial deposit is non-refundable. You may cancel your booking after 14 Days; however, all deposits and (if applicable) any additional payments made to date on the booking are non-refundable.

Any such request must be notified to us in writing from the lead name within our opening hours, and cannot be processed until received by us. After 7 Days, the amount of the cancellation fee is calculated according to the date on which we receive written notice of your wish to cancel.

If you cancel with us more than three weeks in advance of the travel date then the cancellation fee is a minimum of 35% of the total booking cost, or the total amount paid to us at that time on the booking. If you cancel with us within two weeks of the travel date then the cancellation fee is 100% of the total cost of the booking.

INSURANCE

Ace flights recommend you to cover yourself and your party with sufficient travel insurance. Also, many airlines have made it necessary to take travel insurance as a condition of booking with them. Further, a few destinations have made it compulsory to take out travel Insurance as well.

Our travel experts will guide you where insurance is compulsory. Please note that your insurance policy covers you, as a minimum, against the cost of cancellation by you; the cost of medical assistance (including repatriation) in the event of accident or illness including the loss of baggage and money as well as other expenses.

You are advised to check and read all insurance documents carefully to ensure that all the details are correct, also, all required information has been provided by you.

DELIVERY OF DOCUMENTS

All travel documents (e.g. tickets/Insurance policies) will be sent to you by post or by email within 48-72 hours following full payment of your booking, except in the case of a very late booking, in which case documents can be sent within 24 hours. Once documents are posted to you, no liability will be accepted by us unless the loss of documents is caused due to our negligence. In such instances, if the tickets or other documents need to be reissued, all the costs should be borne by you. Documents can only be reissued up to 7 days before departure. You may request for delivery by other means if necessary, e.g. courier provided that this is at your cost.

LOST TICKETS

In case you lose your physical tickets, you are advised to notify us as soon as possible. Any such request must be notified to us in writing from the lead name within our opening hours, and cannot be processed until received by us.

Also, the reissuance of physical tickets in case of losing them will lead to a fee depending on the airline's/ supplier's rules. The reissuance of physical tickets is subject to the airline's policy including the circumstances of the loss and the departure date. Further, Ace flights will also charge a fee to cover the administration expenses for the reissuance of physical tickets in case of losing them.

Please note that not all tickets can be reissued. There may be circumstances when you need to purchase a completely fresh ticket. If the lost ticket cannot be reissued, you can request a refund from the airline; however, any refund is not guaranteed and is at the sole discretion of the airline.

NON-DELIVERY / NON-RECEIPT OF TICKETS

If you have not received your tickets/ e-tickets or other travel documents, you are advised to notify us in writing from the lead name within our opening hours, and any such request cannot be processed until received by us. Ace flights are not liable for your failure in receiving your e-tickets due to providing an inaccurate email address or your junk email settings.

FAILURE TO PROVIDE AN EVENT

Ace Flights Ltd is a reputed company and we are committed to our customer satisfaction. All passengers booking with Ace Flights Ltd are fully insured for the initial deposit, and subsequently, the balance amount is paid in accordance with “The Package Travel, Package Tours Regulations.” We apply no extra cost to you for the financial protection offered to you. Also, you will be getting ATOL protection through our suppliers.

If in case the due reasons are beyond our control and an event is unable to take place due to (but without limitation); closure of premises, the ceases of trading, a change in supplier management, or weather restrictions, we will provide you and your group with an alternative event and if this does not prove possible, a refund to you of the cost to us of the event.

ACCOMMODATION

If your booking includes accommodation, the named accommodation will remain confidential to “Ace Flights Ltd” and only be disclosed to you upon receipt of the completed secondary deposit and written confirmation from the supplier.

MEALS

Unless otherwise stated, breakfast is not included with bookings of accommodation. The type of breakfast you will receive will be confirmed upon arrival at your accommodation (this may be hot or cold regardless of your quotation). Restaurant meals may require a pre-order to be completed by the lead name of the group. This should be completed and returned to us, or the venue as required. If a pre-order has not been completed, we accept no liability for meals not provided or delays in providing the meals for you. You will not automatically be sent any menus and menus may be of limited choice from a set menu for groups. We will endeavour to meet any specialist dietary requests for any member of your group, but cannot guarantee these requests. We accept no liability if our suppliers are unable to meet these requests in advance, or once at the venue. We accept no liability if your group arrives late.

Also, the reissuance of physical tickets in case of losing them will lead to a fee depending on the airline's/ supplier's rules. The reissuance of physical tickets is subject to the airline's policy including the circumstances of the loss and the departure date. Further, Ace flights will also charge a fee to cover the administration expenses for the reissuance of physical tickets in case of losing them.

YOUR OBLIGATIONS

You shall at all times behave in a safe, responsible and courteous manner; comply with all instructions; regulations and codes of practice issued by us or our suppliers; ensure that you comply with all age restrictions imposed by our suppliers; ensure that you comply with all arrival times, and dress appropriately for the event. If you breach these obligations we may cancel or curtail the event or any part of it and in those circumstances, you shall not be entitled to any refund. You shall take out insurance suitable for your needs (including delays for events involving travel by land, sea, or air) before the event.

OUR OBLIGATIONS

We shall take reasonable care and skill in arranging the event and comply with all applicable laws concerning the event; where ever possible, re-schedule the event instead of cancelling or offering a refund to you of the cost to us of the event. All of the photographs and illustrations we use on our website and in literature (including quotations) we send you are for marketing purposes and may not entirely represent the actual products received.

OUR LIABILITY

If due to circumstances beyond our control it becomes necessary to substitute an alternative supplier or make any other alterations to the event (including accommodation) we shall inform you of the changes as soon as possible. You must pay any additional cost due to such changes. If the changes are, in the view of “Ace Flights Ltd” so substantial as to materially alter the event and you are unwilling to accept them then you may cancel the event and we will give a refund of the cost of the event to us.

Surcharges may be applicable where an event requires a minimum number of participants to proceed, and the group does not meet this minimum number. This could lead to the cancellation of the event for which we are not held responsible and alternatives may be offered of an equal or greater value. If this value is greater, then you must pay us the difference in price. If the final number of a group is an odd number, then a single supplement surcharge will apply if the booking or an event (including accommodation) is number-dependent.

FORCE MAJEURE

We accept no liability for and shall not be responsible in respect of any loss or damage or alterations, delays or changes arising from unusual and unforeseen circumstances beyond our control, such as war or threat of war, riot, civil strife, industrial dispute including air traffic control disputes, terrorist activity, natural and nuclear disaster, fire or adverse weather conditions, technical problems with transport, closure or congestion of airports or ports, cancellations of schedules by scheduled airlines. You are advised to check the current position in any country by contacting the Foreign and Commonwealth Office.

PASSPORT / VISAS / HEALTH REQUIREMENTS

You are advised to check accurately with the relevant embassy about your passport and visa requirements in advance. You are liable to be in possession of a valid passport and, if appropriate, a visa. Ace flights cannot be held responsible under any circumstances if you lack the appropriate travel documents or permissions.

Each country has their own requirements related to entry formalities, vaccinations, etc. and that may vary or depend on the passengers’ nationality. You are advised to obtain any such information before planning your journey. It is strongly recommended that children hold their own individual passports; where a child is still included on a parent's passport you are advised to check that this will be suitable for the destination you are visiting before making a booking.

Our travel experts can provide general information about a few health formalities required for your trip, but you are advised to check with your doctor for any specific cases.

Please note that health and immigration requirements are subject to change at short notice. Therefore, Ace Flights accept no responsibility if you are denied boarding or are deported due to failure to comply with the above. You will be liable for any costs you or Ace Flights pay as a result of such failure.

CUSTOMER FEEDBACK

If you have a problem whilst on your booking then you must contact the appropriate person(s) at the earliest opportunity, for example, the accommodation/restaurant manager. Unless there is a valid reason why you did not report your problem to the appropriate person(s), we will not consider ourselves liable for those complaints. If they are unable to resolve matters to your satisfaction then you must write to us within 7 days of the conclusion of the event. No complaint will be accepted outside of this time frame thus deeming you fully satisfied with all aspects of the event and the services we have provided to you. We will acknowledge any correspondence within 5 working days and endeavour to deal with the complaint as quickly as possible.

FREE PLACE PROMOTION

Where offered, one free place shall be allocated to both parties (more than one group booking) as long as each booking meets the minimum required numbers stated on the individual booking(s) paying the full per-person price. Both groups must pay in full (based on the minimum requirements) for this promotion to apply.

CONTRACTS (RIGHTS OF THIRD PARTIES) ACT 1999

No part of this agreement shall confer on any third party any benefit or right to enforce any terms of this agreement.

JURISDICTION

This Agreement shall be construed in accordance with the laws and be governed in all respects by the laws of England and Wales and the courts of England and Wales shall have exclusive jurisdiction to deal with any disputes arising between you and us or our suppliers. By using this website you agree that any claim or dispute you may have against Ace flights must be resolved by a court located in England and Wales.

Any cause of action you may have with respect to this website must be commenced within 7 days after it arises, or the cause of action will be waived. For the purpose of litigating all such claims or disputes, you agree to submit to the personal jurisdiction of the courts located within England and Wales.

RESOLUTION OF DISPUTES
